Job Title: Customer Service Representative

Job Purpose:  Insure accurate recording of company product orders and provide assistance in resolving customer complaints, order discrepancies or claims involving price, product application, etc.

  1. Review orders for accuracy and process orders, communicating directly with the customer, sales representative and various departments as necessary to resolve any discrepancies.
  2. Manage Customer material requirements (shipping releases) by comparing accumes to actual product shipped and calculate additional shipments needed to insure uninterrupted production. Maintain specific daily, weekly and monthly service levels and/or performance ratings as mandated by certain OEM and aftermarket accounts.
  3. Initiates and reviews various reports to identify existing and potential problems with product availability, backorders, late shipments, etc. Assists in expediting product by collecting and analyzing data and relaying the information to appropriate departments for resolution.
  4. Responsible for processing all customer complaints through the complaint monitoring system. Relays accurate information regarding complaints to appropriate departments for resolution and communicates resolution directly to customer as required.
  5. Analyze and process customer claims by reviewing and analyzing credit/debit transactions based on established policy or individual agreements.
  6. Initiates necessary paperwork to assure accurate application of credit/debits and maintains all appropriate files on same. Tracks credit accruals to assure compliance within program allowances.
  7. Provide informational support regarding claims activities or related functions by verifying information on specific claims and/or invoices, notifying customers of changes made and processing credit requests.
  8. Processes returned goods to credit customers account as well as initiate proper stock adjustments on defective returns, overages, etc.
  9. Performs other duties, as assigned.

Job Requirements

Education:      

High School graduate or equivalent. Degree would be beneficial.

 

Experience:     

Two or more years experience in related field

 

Communication:

Above average oral and written communication skills to receive and convey information to personnel inside and outside the company.

 

Administration:

Knowledge of JDE software helpful

Proficient in MS Office software

Ability to multi-task

 

Interpersonal Relations:

Professional & Positive

Strong internal/external customer service skills

Build constructive and effective relationships with a broad and diverse group of people

 

Analytical and Conceptual:

Good planning and organizational skills

 

Special Skills:

General knowledge of basic accounting principles

 

Dependability - Must be able to maintain satisfactory record of attendance and conduct. Must be able to work any shift and overtime as required.
